Position

PURPOSE OF THE JOB

Reporting directly to the HR Director EMEA, and coordinating the Admin team, the Senior HR Administration will support management-level staff and perform a variety of tasks related to employee administrative management, record-keeping and support. He/she will also handle sensitive employee and company information, which requires a high level of professionalism and confidentiality.

The Senior HR Administration will be also responsible for the timely and accurate processing of the monthly payroll processes for Guess Europe Sagl. Will also be the point of reference in order to process Legal entities payroll payments and act as a focal point for all HR Europe subsidiaries.


CORE JOB RESPONSIBILITIES

ADMINISTRATION

  • Provide both HR specific and general administrative advice and assistance
  • Handle all HR administration processes: hirings, exits, work permits, company insurances, contracts, time management, allowances, etc.
  • Foster the digitalization and standardization of HR Admin processes and procedures
  • Create and edit HR documents, process new hires, employee changes, exits and comp & benefit administration
  • Update employee information into company databases
  • Liaise with local authorities
  • Assist HR Team member in specified projects
  • Support HR Team in the creation of forms, templates, and other HR-related documents
  • Supervise timekeeping functions

PAYROLL

  • Coordinate the development of HR policies for the organization with regard to employee relations
  • Provide support to regional executives granting HR solutions to all departmental requests
  • Perform headcount administration to ensure compliance to regulations at country level is totally met
  • Administer support and distribute information to all employees
  • Process monthly payroll accurately to ensure compliance, accuracy, and efficiency;
  • Reviews computed wages and corrects errors to ensure the accuracy of earnings. Ensure that all mutations of payroll are processed correctly;
  • Maintain accurate payroll records and employee files;
  • Prepare various payroll and management reports;
  • Compiles payroll data such as, vacation, sickness, accidents and children allowances;
  • Ensures compliance and adheres to company’s polices relating to processing of wages and paid time off;
  • Provide service to all employees regarding concerns with payroll and benefits, research and trouble shoot any/all inquiries;
  • Coordinate resolution with the Payroll provider or representatives/Insurance carriers to address any inquiries/requests on an on-going basis;
  • Maintains business controls and audit trails for all payroll transactions;
  • Maintain control of company payroll files, with strict confidentiality;
  • Maintains employee files and other record keeping; files all documents into employee files
  • Liaise with local authorities;
  • Handling of all social Security aspects; Pension Fund, Tax at Sources;
  • Perform payroll controls across European Branches and provide general support to local HR subsidiaries in the different EU countries
  • Assists department with additional duties as needed.

Requirements

  • High School Diploma or Bachelor’s degree (preferably in HR Management and Administration)
  • Fluent English. Any other language will be considered a plus
  • Preferable experienced in managing people
  • Years of experience: 7/8 possibly in similar global / international organization
  • Good knowledge of MS Office (Word, Power Point, Excel and Outlook) as well as specific HR Software such as Zucchetti or Peoplesoft
